Job description:
Following recent restructuring of the team in the Estate Office, The Cornbury Park Estate are seeking a full time Estate Administrator to oversee our residential and commercial properties.
This person will be instrumental in ensuring that the Estate is compliant with current (and ever-changing legislations) through the implementation of Landmark Key Prime Property.
The role will include (but not limited to):
Residential/Commercial/other Lettings:
- To have an existing up to date knowledge of the legislations that relate to let properties, or to actively seek out courses to attend to fulfil this requirement.
- Take a lead in the roll out of new property management software – checking details against signed leases and certificates on file to ensure details are accurate.
- Produce monthly invoices, checking against additional services / recharges as per agreement with the office, through the new property management system.
- Work as part of a team of four people in the Estate office, as well as with the wider Estate team.
- Liaising with contractors about works required, ensuring they are completed in a timely manner.
- Liaising with letting agents as necessary to advertise / conduct viewings of properties available to rent. Conduct formal check in/out procedures.
- Ensure annual property inspections, rent reviews, new tenancies and renewals are done timeously.
Office Administration:
- Be a familiar and approachable person to all tenants.
- Receiving Estate / Property emails and enquiries and liaising with relevant team members to respond /acknowledge these in a timely manner.
- Assist with reviewing existing documents and files held, and work with existing team to upload relevant information on to the new property management system.
- Assist the Estate owner, manager and Finance Manager as required; in confidence.
- Updating the website to reflect available properties, opportunities (including the new events area - with Events Co-ordinator) .
Requirements:
- Ideally a member of ARLA, Associate RICS or working towards a similar membership. This is not essential, but a background in property management / Rural Estates is important.
- To keep up to date with legislation changes through continuing professional development.
- Willingness to get involved in all aspects of a progressive and varied Estate as required.
- Previous experience with Landmark Key Prime Property would be beneficial.
