THE ROLE:

A position has arisen for an experienced HISTORIC BUILDINGS MAINTENANCE PROPERTY MANAGER who has proven experience of working with both residential and commercial historic buildings and period listed property. This key role within our busy estate management team is for someone who is dedicated to the sympathetic upkeep and restoration of the historical nature of our properties – including a prestigious country home. Previous experience of listed buildings is essential.

THE CANDIDATE:

In addition, we’d like to work with someone who is passionate about customer service, possesses a naturally positive attitude and is able to manage their time and a small team of tradesman resources together with utilising external resources where necessary to achieve repairs and in accordance with exemplary standards of both work and health & safety.  

THE DAY TO DAY:

Reporting to the Buildings Manager, you will be in control of a team of trades. You will be responsible for co-coordinating all of the resources (internal & external) to effectively help maintain a portfolio of residential estate properties and smaller commercial farm to office renovations and deliver outstanding service to our customers. The role has 3 key parts: controlling the financial aspects works (obtaining quotations for works monitoring expenditure), assist with implementation of the planned & reactive maintenance programme and communicating with key stakeholders (chairing meetings and writing letters/reports). Effective prioritization and project management skills are pivotal to the success of this role. You will keep the team’s workload flowing whilst implementing both project and operation maintenance works, therefore you will need to be self-motivated and leave no task unaccounted for.

QUALIFICATIONS & EXPERIENCE:

The successful candidate will present with the following:

  • Degree preferable. A good standard of education is essential.
  • Prince2 or Agile Project Management methodology
  • Health & Safety IOSH preferred, NEBOSH - desirable.
  • Must be self-motivated and flexible relative to work assignments; possess excellent oral and written communication skills, and be able to interface with peers and senior management.
  • Minimum 10 years’ project management experience with at least 3 in period property
  • Experience of budget management, financial control and delivering cost-efficiency
  • Working knowledge of building management, systems maintenance and repair projects
  • Understanding and marking of building plans
  • Customer relationship management
  • Knowledge of current building regulations.
  • Proven customer service experience.
  • Good attention to detail.
  • Knowledge of contractual and non-contractual defects.
  • Technical construction skills.
  • Good oral and written communications and interpersonal skills.
  • Good knowledge of Microsoft Office, Word, Excel and Outlook.
  • Ability to manage multiple priorities, meet tight deadlines and work under pressure.

DUTIES:

Include, but are not limited to:

  • Overseeing operation of the tenant customer service helpdesk, utilizing customer feedback and management.
  • Optimize effective use of the ShireSystem (formerly Pirana) CMM system in order to prioritise and proactively manage the maintenance operation.
  • Consideration and implementation of Health & Safety
  • Providing hands-on management to ensure set SLAs and KPIs are achieved, identifying and initiating corrective action where required
  • Regularly reporting on monthly performance and providing comprehensive management to your team
  • Assist the Buildings Manager to organise and monitor contractors on site
  • Assist the Buildings Manager with implementation of planned and reactive maintenance
  • Meeting with outgoing tenants to accurately record any changes in the property since the start of their tenancy and assessing if damages are liable to tenant
  • Liaising with our team of in-house surveyors to ensure repairs are carried out in line with current regulations.
  • Establish and maintain links with relevant site support functions to enable effective communication, planning and management of any contractors.
